A missed call = ₴290. A dental clinic loses up to ₴800,000 per year — and doesn't even notice
A patient with acute pain doesn't wait
A person with tooth pain calls two or three clinics in a row. They book an appointment at the one that answered faster — and the rest of the numbers simply disappear from the picture.
So a missed call is not a 'minor thing in the administrator's work.' It is a direct outflow of money that is almost impossible to see in financial reports.
The most dangerous losses are the ones that aren't in the CRM. A missed call leaves no trace, so no one counts it.
Average clinic model: what we base the calculation on
Let's take a typical private clinic with 3–4 chairs. Here are its baseline metrics — deliberately conservative:
- 📞 600 inbound calls per month
- ❌ 20% of calls remain unanswered
- 🦷 ₴1,500 — average first-visit value
- 📈 55% — conversion from inquiry to booking (realistic for high-quality handling)
If your clinic performs better — great. But verify it using logs, not by eye.
Loss funnel: step by step
- 📞 600 calls — all that came in during the month
- ❌ 120 — remained unanswered (20%)
- 🗑 36 — spam, wrong numbers, suppliers, insurance companies (30%)
- 🎯 84 — real people who wanted something from the clinic
- 🦷 42 — new patients intending to book (half)
- 📅 23 — those who would have made it to the chair (55% conversion)
- 💸 ₴34,500 — lost revenue for one month
On average, one missed call costs a dental clinic about ₴290. And that's after we've excluded spam and wrong numbers.
Multiply by 12: the cost of a year without an answer
₴34,500 per month is about ₴414,000 per year in direct losses. First visit only, with no additional revenue counted.
But the real number is higher, because a patient doesn't come to the clinic just once.
Part two: lost LTV
A new patient is not ₴1,500, but significantly more. Over two years, the average patient generates ₴7,000–9,000 for the clinic: treatment, hygiene, repeat visits.
If even a third of the 23 lost patients per month became regulars, the clinic would miss out on another approximately ₴70,000 for each monthly cohort.
In total, missed calls cost the average clinic from ₴400,000 to ₴800,000 per year. That's the salary of two administrators, or a new chair, or an entire marketing campaign.
Why patients don't call back
The classic excuse from an owner: 'well, that means they didn't really need it.' In practice, the reason is completely different.
- 😖 Acute pain doesn't tolerate waiting — a person keeps calling until someone answers
- 🔁 Calling back means admitting that no one answered you and spending time again
- 🏥 There are 20+ clinics in the city, and the next one will answer in 30 seconds
- 📵 A call outside business hours doesn't go anywhere at all
The patient didn't 'go think about it.' The patient went to a competitor for treatment — and most likely will stay there for years.
And now, honestly: three adjustments to the calculation
- ✅ Some people do call back — but usually it's a minority, and their motivation is already lower
- ✅ Not all 42 patients would have chosen you specifically — some would go to another clinic for other reasons
- ✅ The average check depends on the profile: in general dentistry it's one amount, in implantology it's completely different
Even if you cut all the numbers in half, the amount remains unpleasant. That is the main conclusion.
What to do: 6 steps to close the gap
- 📊 Calculate the actual percentage of missed calls for the last month — from logs, not by eye
- 🕐 Identify peak hours when the administrator physically can't pick up the phone
- 📲 Set up an instant auto-reply in a messenger or SMS with a booking link
- ☎️ Establish a rule: call back within 5 minutes, not 'when we're free'
- 🌙 Cover non-business hours — online booking or a bot that accepts requests
- 🎧 Reinforce the line during peak hours — a second person instead of a queue of five patients
A formula you can apply today
Take your real numbers and simply go through the chain:
- 1️⃣ Calls per month × % missed = missed calls
- 2️⃣ Minus 30% for spam and non-target calls = real inquiries
- 3️⃣ × 50% = new patients you could have gained
- 4️⃣ × average check = lost revenue per month
- 5️⃣ × 12 = the cost of a year of silence
A missed call doesn't hurt. It doesn't hurt the clinic owner either — until you calculate it in money.
